Ensure every invoice reflects what you negotiated

Invoice Compliance is the contractual accuracy module of FlexTrap. It validates supplier invoices against negotiated pricing agreements, rate cards, payment terms, discounts, freight provisions, and other contract-specific billing rules, inside the AP workflow. The result is confidence that invoices are not just process-valid but commercially accurate.

Contract terms are negotiated by procurement, but the invoices that test them land in AP. Few teams can validate every line against the underlying agreement, so overcharges get paid on invoices that pass every check.

The problem

An invoice can pass every process check and still bill the wrong rate

18.4%

of invoices require exception handling before they can be paid (Source: Ardent Partners, State of ePayables 2025)

0.8-2.0%

of AP spend at risk from duplicate and erroneous payments each year (Source: APQC Open Standards Benchmarking, 2024)

6-18

months before findings typically surface in historical review (FlexTecs recovery audit experience)

Most AP controls confirm that an invoice was submitted, approved, and processed correctly. They do not confirm that the supplier billed what the agreement says. Three-way match validates an invoice against the purchase order and the receipt. It does not validate the purchase order against the contract. Rate cards drift, escalation dates pass unnoticed, negotiated discounts go unapplied, and surcharges appear that no agreement provides for. FlexTecs has spent decades finding exactly these overcharges for clients through historical review. Invoice Compliance moves those checks into the AP workflow, so discrepancies are found and worked as part of ongoing payment integrity, not months later.

Where it fits

Payment Error Prevention ensures a payment is correct. Invoice Compliance ensures it is correct relative to what you agreed.

A duplicate payment is wrong on its face. An invoice billing $4.86 against a contracted $4.52 looks perfectly normal until someone opens the agreement. Invoice Compliance extends payment integrity from transaction accuracy into contractual accuracy, a layer of control traditionally reachable only through manual review or audit.

Capabilities

Contract-to-invoice validation, inside the AP workflow

Six capabilities that turn the agreements procurement negotiated into checks AP can actually enforce.

Rate card and pricing validation

Invoice lines checked against negotiated pricing agreements and rate cards for the suppliers you monitor. The agreed rate and the billed rate, side by side.

Pricing discrepancies surface inside the AP workflow, not in a review months later.

Terms and discount verification

Payment terms, early-payment discounts, and negotiated billing conditions verified as agreed on every monitored invoice.

The terms procurement negotiated are the terms you actually get.

Unsupported charge detection

Freight, fees, and surcharges with no contractual basis flagged for review, even when the rest of the invoice is clean.

Charges you never agreed to stop riding through on otherwise valid invoices.

Off-contract invoice detection

Invoices outside expected procurement processes or purchase order requirements identified as they enter the workflow.

Off-contract spend becomes visible as part of day-to-day AP work.

Contract misapplication alerts

Overpayments tied to misapplied agreements: the wrong rate table, a missed escalation date, a discount applied to the wrong lines.

Contract-related overpayments identified before they grow into larger financial issues.

Compliance intelligence

Compliance performance tracked across supplier contracts and fed into the Intelligence Layer alongside transaction, statement, and communication signals.

See which contracts and categories drift from their terms, with evidence.

Inside the product

From a compliance run to a held payment

FlexTrap Invoice Compliance worklist: three daily invoice compliance runs with exception value and counts, and a table of invoices flagged for tiered pricing not applied, contract price variance, discount allowance not applied, freight charge variance, and payment terms variance.
  1. Every run totals what it found

Exception value, count, and how many are still open, for each compliance run.

  2. Each invoice carries its reason

Tiered pricing not applied. Contract price variance. Discount allowance missed. Freight or payment terms variance.

  3. Review puts the invoice next to the agreement

Record the root cause and choose the invoice action on the same screen.

Scope

Focus compliance where the exposure is greatest

Invoice Compliance is not applied to every supplier. You choose the suppliers, contracts, and pricing frameworks to monitor.

Deploy it where

  • Supplier contracts are complex
  • Pricing is variable or rate-card based
  • Discounts, freight terms, or billing conditions are material
  • Financial exposure is meaningful
  • Your team cannot manually validate every invoice against the agreement

How it works

From negotiated terms to enforced terms

Four steps that bring contract-to-invoice validation into the AP workflow.

01

Select the suppliers and contracts that matter

Start where contracts are complex and the exposure is meaningful. Load the pricing agreements, rate cards, and billing rules that govern those suppliers.

02

Validate charges against agreed terms

Invoices from monitored suppliers are compared with the agreement behind them: pricing, rates, discounts, freight, and other billing conditions.

03

Identify and prioritize discrepancies

Pricing differences, unsupported charges, and possible contract-related overpayments surface with the contract price, the invoiced price, and the variance.

04

Review and resolve findings

Your team works each finding in a review screen: set the root cause, choose the invoice action, and hold the payment when the charge does not match.

FlexTecs expertise

Turn flagged discrepancies into financial outcomes

Value sitting in a report is not value realized by the business. Finding the discrepancy is where the work starts.

Complex contracts can need a second look to confirm that a charge breaks the agreement and to size what it cost. Where that analysis is needed, FlexTecs offers optional support from the team that has run contract compliance reviews for decades.

  • Validate flagged discrepancies
  • Confirm potential overcharges
  • Quantify the value behind a finding
  • Support value recovery

The platform

Part of the FlexTrap AP Intelligence Layer

Invoice Compliance owns contractual accuracy. Connected to the other modules, it gives AP and finance leaders one view of what is happening, why, and where to act.

“Another important advantage is its flexibility and adaptability. FlexTrap can be tailored to meet the specific needs of each client...”
